Withdrawal, Attendance & Repayment Requirements

What You Need to Know

The financial aid you receive is based in part on the number of credits you take each quarter. You may receive funds based on the following enrollment levels:

  • Full-time = 12 or more credits
  • ¾ time = 9 to 11 credits
  • ½ time = 6 to 8 credits
  • Less than ½ time = 1 – 5 credits

You must maintain Satisfactory Academic Progress (SAP) to remain eligible for funds. Review the Satisfactory Academic Progress policy to make sure you understand the consequences of dropping a class below the range you received funding for.

Adjustment of Enrollment Level

  • Washington College Grant (WCG): If you never participate in an online class or attend an on-ground class, we must recalculate your enrollment level and adjust your aid
    • This may result in you owing a repayment of the WCG
  • Federal Pell Grant: If you never participate in an online class or attend an on-ground class, or you drop a class before our Census Date, we must recalculate your enrollment level and adjust your aid
    • This may result in you owing a repayment of the Pell Grant

Our Census Date is usually the tenth instructional day of the quarter (earlier for summer), and
can be found on the Academic Calendar

Federal and State Aid Repayment Requirements

The Federal Return of Title IV policy is used to determine repayment of federal aid, which includes the Pell Grant, Federal Supplemental Educational Opportunity Grant (SEOG), and/or Direct Loans.

A separate policy for state aid, which includes the Washington College Grant, and College Bound Scholarship is used as required by the Washington Student Achievement Council (WSAC).

  1. COMPLETION OF COURSES (Federal Funds)

    1. You must complete the minimum number of credits based on your funded enrollment level
      (See Above).
    2. If you do not complete any credits, the college must return the funds you received based on
      the percentage of the quarter you completed. The amount is based on... 
      1. The date you withdrew, or
      2. Your last date of attendance as reported by your instructor/s
  2. EARNED AID

    1. Federal Funds: If you complete at least 60% of the quarter you have earned all your aid and will not owe a repayment
      1. The 60% date for each quarter is on the Academic Calendar
      2. If you attend less than 60% of the quarter, you may owe a prorated repayment based on how long you attended your classes
    2. State Funds: If you begin attendance in all enrolled classes, you will not owe a repayment of the state funds you received
      1. If you do not attend at least one class meeting for all your enrolled classes, the college must recalculate your enrollment level and you may owe a repayment
  3. SCHOOL AND STUDENT RESPONSIBILITY

    1. Federal Aid: The college must return a portion of your unearned federal aid to the appropriate aid program
      1. The college bills you for any amount returned to the federal aid program, which results in you owing a debt to the college
      2. If you Officially withdrew during a refund period, your refund is applied to the amount you owe the college, which reduces your debt
    2. State Funds: The college is not required to return funds directly to the state aid programs, but you must repay any amount due
  4. NOTIFICATION

    1. If you owe a repayment, we send you an email to the address on your account
    2. If you received a federal Direct Loan, we cancel any pending disbursements and disbursements for future quarters and notify you by email to the address on your account
